Inviting team members and choosing access levels

How an owner invites employees from My Team, what each built-in access level (Owner, Admin / Manager, Dispatcher, Technician, Accountant, Staff) can do, and how to change or remove access.

Team access is managed on My Team at /settings/team. Only an owner can send invitations. An Admin / Manager can see the team and change or remove access for anyone except the owner. Other roles see "Team access is limited".

Access levels

Pick the smallest access a person needs:

Money actions ask everyone, owners included, for the same two-step login check.

Invite one person

  1. On /settings/team, find Invite a team member.
  2. Enter Name and Email, and choose an Access level.
  3. Tick "I confirm this person should have ... access to this company."
  4. Click Send invitation.

You need two-step login on. Otherwise you will see "Set up an authenticator before inviting a team member"; click Continue to the security check. The person has no access until they accept the email and finish account setup.

Invite several people

Click Invite several people (/settings/team/invite-roster, titled Add several people). Paste name, email, and access level columns from a spreadsheet, up to 50 people. Click Review roster, tick the confirmation, then click the send button (for example Send 3 invitations). Keep the page open while it sends.

Change or remove access

Under Current access, click Manage, pick a new Access level, and click Change access level, or use Remove access. Pending invitations have Resend invitation and Cancel invitation.

People whose access was removed disappear from the default Current team list; choose Access removed under Access status to see them again. They are never deleted outright because their jobs, time, and history stay linked to them, but they can no longer sign in and do not count toward your team.

To put technicians on the schedule, use /settings/team/scheduling-team; that does not change their access.
