/schedule is the dispatch board. It opens in Day, Week, or Month view and remembers the last view you used. Owners, admins, dispatchers, and office staff can change the schedule. Other roles can view it.
Owners appear on the schedule automatically. To add technicians, an owner or admin goes to /settings/team/scheduling-team, chooses the technician, and clicks "Add to scheduling". This does not change their login or permissions.
Book and assign work
- Click "New schedule item" and choose "Schedule an existing job", "Schedule task", or "Internal block off".
- For a job, the "Book a job" panel lets you pick the job and duration. Trades Operator suggests openings and shows the technician's day. Choose an opening or enter a time, then book it.
- To assign or change a technician, open the appointment and use "Assign". Use "Reschedule" to change the time.
- In Day view you can drag an appointment to a new time or onto another technician. Each change shows a confirmation such as "Appointment moved. Recorded in the audit trail."
- "Internal block off" reserves a team member's time without creating a job.
"Find a time" openings use each technician's working hours minus appointments, tasks, block-offs, and outside calendar busy time (see /settings/integrations/google-calendar).
Dispatch tools
- "Dispatch exceptions" lists today's late work, arrival checks, and jobs running long. It never reschedules or assigns work on its own.
- "Route the day" (Day view) builds a driving order for one technician. Click "Build smart route", review it, click "Save reviewed order", then "Send to maps". Route order never changes appointment times.
Working hours
- Technician hours: go to
/settings/team/working-hours, choose a technician, click "View hours", set each day to "Working" or "Closed", add "Add special date" entries for days off or different hours, then click "Save working hours". Owner or admin only. - Company hours at
/settings/company/working-hoursset where new scheduling forms start each day.
If it is not working
- "Add your scheduling team": no technicians are set up for scheduling yet. An owner or admin must add them at
/settings/team/scheduling-team. - "Schedule changed" or "Review the latest schedule": someone else changed the board. Click "Review latest schedule" before making another change.
- "Schedule is temporarily unavailable": nothing was changed. Click "Try again".
- "No route-ready stops": add a full street, city, and state to that day's jobs.
- "Working hours are not ready yet" or "temporarily unavailable": nothing was changed; try again shortly.
