Customer payments hub - record cash or check and review field payments

How to use the Payments page to see card payment status, record a customer cash or check payment, and approve or reject a technician's reported payment. Who can do it.

Customer payments at /money is where money your business receives from customers is reviewed: collections, failed attempts, refunds, and settlement. Trades Operator credits and service billing are separate. Owners, admins, and dispatchers (the office money roles) can use it; others see a notice and nothing is exposed. Sensitive steps ask for fresh two-step verification.

Card payment status

Owners and admins see Card payments on, or a prompt such as Set up card payments / Continue payment setup / Manage card payments if Stripe setup is not finished. Setup is described in the Stripe payments setup article.

Record a cash or check payment

  1. Open /money/record (Receive cash or check), or use Record payment from there.
  2. Under Find the invoice, search by customer or invoice number. An invoice must be issued first ("Issue an invoice before recording a customer cash or check payment").
  3. Choose How did you receive it? - Cash or Check (enter the Check number, last four characters only).
  4. Enter Amount received (up to what is due; partial is allowed) and Received on (within the last 365 days).
  5. Review, then click Record payment. You may be asked for two-step login. The invoice balance updates.

For a card payment, open the invoice instead; it creates the customer's secure card payment link.

Technician-reported payments

Cash and checks collected in the field show under Technician payments to review. Nothing changes until you act: click Approve and record, or Don't accept with a Reason the technician will see. If a claim is pending, the form asks you to review it before entering another amount so it is not counted twice.
