Card payments can be refunded in full or in part from Trades Operator. The money goes back to the customer's original payment method through your Stripe account. Owners, administrators, and dispatchers can refund, and each refund needs a recent two-step verification.
A refund here only returns a customer's payment. It does not refund Trades Operator credits, subscriptions, or service fees.
Refund a payment
- Open Customer payments at
/money. - Find the card payment (use Transactions or search) and open it.
- Select Review refund. This opens the refund page for that payment.
- Check Original payment, Already refunded, and Available to refund.
- Enter the Refund amount (a partial amount or the full available amount) and pick a Reason: Customer requested, Duplicate payment, Fraudulent payment, or Other.
- Select Approve refund.
The approved amount is reserved right away so it cannot be refunded twice. The refund shows as complete once Stripe confirms it.
Only card payments have a Review refund button. Cash and check payments cannot be refunded from this page; their detail offers Review the invoice instead.
Refund statuses on the payments page
Use the Refunds tab at /money:
- Refund pending: approved and waiting for Stripe to confirm.
- Refunded: Stripe confirmed it and the invoice balance was updated.
- Refund failed: Stripe did not complete it. No refund was recorded.
- Refund needs review: Stripe reported a refund that did not match what was recorded. Check it in your Stripe account.
If it is not working
- Stripe is still confirming this payment: the refund is approved but not sent yet. Wait a minute, then select Resume refund. It continues the same refund and cannot send a second one.
- Refund needs checking: review the current totals before trying again.
- Refund not submitted: check the amount and reason, then approve again with two-step verification.
- Refund unavailable: nothing is left to refund, or part of the payment is Held for disputes.
